Position Description:

We are seeking a talented and motivated professional to provide executive assistance to the CEO of our organization, as well as oversee the operations of our office. This is a terrific opportunity to join a rapidly growing, fast paced multifamily real estate organization and immediately make an impact.

The successful candidate will be extremely organized, detail oriented, self-driven, and enjoy the challenge of always thinking a step ahead in a fast-paced environment. This critical role requires strong communication, scheduling and follow-up abilities, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside stakeholders and vendors.  

In this key role, the individual will support and promote a productive working atmosphere by performing daily tasks efficiently and accurately with organization and professionalism being key.  Working in a team environment, you will be required to work well with an entire team as well as be able to efficiently complete tasks independently.   As you develop this role, you will also be looking for opportunities to support the business and help determine tasks, priorities, and goals essential to the continued growth of the company.

Responsibilities will include:
  • Assisting the CEO with daily schedule and duties, including managing his calendar, commitments, and email.
  • Function as gatekeeper, evaluating and prioritizing issues presented to the CEO
  • Conserving the CEO’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating communication.
  • Assisting CEO with preparation of presentation materials
  • Managing various projects involving all levels of internal management and staff
  • Planning and coordinating of company events (off-site meetings, company outings, etc.)
  • Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders
  • Manage food and snack supplies and ensuring a clean, organized and well stocked kitchen for employees
Requirements:
  • 4-6 years of experience providing executive assistance
  • Team-focused, and enjoys working as part of an active group of highly engaged individuals
  • Strong communicator with excellent written and verbal skills
  • Meticulous attention to detail, excellent analytical ability and a strong sense of accountability
  • Demonstrated skills in managing confidential information and using good judgment
  • Strong interpersonal skills and the ability to develop constructive and cooperative working relationships with others
  • Ability to assess circumstances, problem solve with minimal supervision, and exercise common sense and diplomacy and make sound independent decisions using own initiative
  • Understand the unspoken needs and characteristics of the CEO and react with situational appropriateness
  • Results oriented, with strong multitasking abilities
  • Proven track record of successfully managing upwards
  • Experience with a wide range of internet technologies and applications
  • Interest and experience in using technology to improve work efficiency
  • Advanced level experience with MS Office applications including Word, Outlook, PowerPoint, and Excel
  • Quick learner and highly adaptable, with the ability to manage change
  • Experience with event planning and working with a team is considered a plus
  • High level of discretion and professionalism
